Building a client-facing weekly deliverability one-pager from Postmaster and seed inbox data
Clients do not want a screenshot dump of Google Postmaster Tools. They want one page that says whether their sending domain is healthy enough to keep scaling this week.
Agencies already collect the signals. The miss is packaging: Postmaster for Gmail reputation and complaints, seed tests for placement across providers, and a short call-to-action when either side turns yellow.
What belongs on the one-pager
Keep it to one client workspace and one primary sending domain (or a short table if they run two). Suped's Postmaster V2 guide and Google's own dashboard docs point at the same weekly review set: compliance status, spam rate, delivery errors, authentication, and data freshness. InboxKit's 2026 Postmaster walkthrough adds the agency habit of reviewing the 7-day spam trend and auth dips on a standing cadence.
Pair that with a seed placement matrix. Allston Labs is clear that Postmaster and SNDS describe inputs and side effects, while seeds describe where mail actually landed. Will It Inbox says the same: treat seeds as change detection, and believe Postmaster when complaints climb even if a single seed run looked fine.
A practical one-pager section list:
- Domain and week covered (UTC dates matter for Postmaster)
- Gmail spam rate and 7-day trend, with the ~0.1% ceiling called out as Google's sender-guideline pressure point
- Authentication pass rates for SPF, DKIM, DMARC
- Delivery errors and compliance / deliverability-analysis flags
- Seed matrix for Gmail, Microsoft, Yahoo (inbox / promotions / spam), not one blended score
- Volume note if Postmaster panels are patchy because daily Gmail volume is low
- Decision for next week: hold caps, raise caps, or pause and remediate
How to build it without drowning ops
Run the same ritual every Monday for each active client domain.
- Export or screenshot the Postmaster panels for the prior week. Note the latest data date. Suped warns that V2 lags and that patchy panels often mean low personal-Gmail volume, not a healthy blank slate.
- Run one standing seed test against a provider mix that matches the client's recipient mix. Allston Labs flags the common failure: a consumer-heavy seed list while the campaign is mostly Microsoft 365 tenants.
- Fill a one-page template. Green / yellow / red per section beats paragraphs.
- Attach the decision line in plain language: "Hold at 40/day per mailbox" or "Pause Client B sequence B until auth is fixed."
- Send the PDF or Notion page to the client owner. Keep the raw dashboards in the agency workspace for audits.
InboxKit notes there is no domain limit in Postmaster for agencies monitoring many clients, but each domain still needs its own verification and its own one-pager. Do not blend Client A's spam rate into Client B's story.
Alert thresholds worth printing on the page
Borrow numbers clients already hear from sender guidelines and warmup monitors, and label them as monitoring thresholds, not product guarantees:
- Spam rate trending toward or past ~0.1%: investigate before the next volume bump
- Hard bounce rate above ~2% on a mailbox: pause that mailbox and clean the segment
- Sustained seed placement drop of ~20+ points week over week on a major provider: treat as a reputation event until proven otherwise
- Auth failures after a DNS or ESP change: stop raising caps until alignment is verified
Allston Labs puts the lag between a reputation drop and pipeline damage at roughly two to four weeks. Weekly one-pagers shrink that detection window to seven days.
Why this helps the sales conversation
Buyers ask whether their domain is safe to scale. A weekly one-pager answers with evidence instead of "looks fine." It also protects the agency when a client pushes to send more mid-month: you can point at yellow spam trend or seed drift instead of arguing from vibes.
GTM keeps email send windows, domain limits, and compliance gates inside client-isolated workspaces. The one-pager is the client-facing layer that makes those controls visible without mixing reputation dashboards across clients.
